Project management is about the actions you take to accomplish a given task/activity. It includes the project scope, project time line/deliverables, and project team. Each of these steps in project management more clearly defines an action, at a given point in time, than would a task that has a task number and a particular time! It can be argued that most all decisions are made at each of these steps. Certainly these processes help to bring the project to where it’s going. Enough describing! So project management has a few different activities, and each has it’s own task number. Project Management creates a project plan (just like the plans for customer related activities, payroll, etc.) with related actions needed to coordinate resources. Project team is defined as a group of people and/or departments who work together to share the organizational task/activity. Internal activities would cover programming, QA, etc. It’s these activities, that are the PMs job. Another activity is the project review, normally done at the end of the project. The resource setting is part of that presentation just like it is to the customer! The internal teams have a smaller project team as they work together to complete the project goals. The most difficult part of project management is making sure these activities are completed!
Project management is about describing the actions to get you to where you’re going. Project planning is the blueprint to achieving those goals. A very effective tool, the Project-plan is a separate document from the worksheet. Think of it like the proposal document. It’s separate and is used at the end of the proposal to negotiate.
Communication is the function of project management. If you ever have a PM give you an update on the status of your project, it’s a very good indication that some kind of communication is going on. Project team meetings are great and participated by everyone involved. The parameters of a team meeting generally involve the same team members, but may include some more senior personnel, if the team has a larger membership. There are internal and external meetings. Internal meetings are generally for the team or for each department. Occasionally internal meetings go on in-house to discuss specific internal issues that have come up. The key here is, however, that the overall meeting occurs among the members. External meetings are with third parties and organizations. The key is to stay on topic and discuss real current issues. Someone may be giving you updates on others issues, and maybe there’s an update on your project.
Project management can sometimes be a romance, giving women a discrete way to communicate about the progression of the project and the activities done. When people get excited about the project/product, be it a new product, a new software company launching, or a new product line at an existing company, people often forget that great PMs are not only careful planning, but likely emotionally stable in the way they go about getting a project done. Sometimes people get hurt emotionally on a project, but it maybe treated as a separate issue, and not part of a project support process. When in reality it should be treated as part of a project team and if anything in the project management system changes from time to time, then someone might have changed their mind on addressing it in a:” Olympian Intern town meeting” This is simple, yet very effective.
